Tenant Setup

When ORKSTRA provisions a new tenant, you get a blank slate plus a single admin user (you). This checklist walks through the first-week configuration to get the tenant production-ready.

Day 1 — Tenant basics

  1. Set tenant time zone (Admin → Settings → Time zone).
  2. Set tenant base currency (typically AED, SAR, or EGP).
  3. Set tenant default locale (Arabic or English).
  4. Upload tenant logo and configure branding (see Branding).
  5. Set fiscal year start.

Day 1 — Companies

  1. Create at least one company — the legal entity that holds your contracts.
  2. Upload trade license PDF and tax registration.
  3. Set company-specific currency, address, and bank accounts.

Day 2 — Users and roles

  1. Review the seeded roles. The default catalog has 30+ pre-defined roles; pick the ones that match your org chart.
  2. Create custom roles for any gaps (e.g., "Junior Planner").
  3. Invite your senior managers. Project Director, CFO, HSE Manager, QA/QC Manager.
  4. Have them invite their teams.

Day 2 — Security policy

  1. MFA policy — required for which roles?
  2. Password policy — match your corporate standard.
  3. Session timeout — default 8 hours.
  4. IP allow-list (Premium) — restrict admin access to office / VPN IPs.

Day 3 — Integrations

  1. SSO — SAML 2.0 or OIDC. Configure your IdP and test.
  2. Email — verify the sender domain (DKIM, SPF) for outbound notifications.
  3. SMS / WhatsApp — set up Twilio if you'll use these.
  4. Government connectors — enable MoHRE / ICA / GDRFA in stub mode initially, switch to production when credentials are obtained.

Day 3 — Reference data

  1. Materials catalog — extend the seeded 245 UAE materials with your firm's preferred suppliers and codes.
  2. Equipment register — load your fleet via Excel bulk import.
  3. ITP templates — load your standard inspection plans.
  4. Approval workflows — review and customize the default workflows.

Day 4 — Pilot project

  1. Create one pilot project with a small BOQ.
  2. Run through the Quick Start with one PM.
  3. Capture feedback on any pain points.

Day 5 — Backups and DR

  1. Verify backup schedule (Admin → Backups).
  2. Run a test export to confirm restore path.
  3. Document your DR plan.

Day 7 — Go live

  1. Onboard remaining projects.
  2. Roll out to operations teams via in-app tour + training session.
  3. Schedule a 30-day review.

Ongoing

  • Weekly admin dashboard review.
  • Monthly user activity audit.
  • Quarterly role review (drift cleanup).
  • Annual compliance review.
